Private Foundation Services
Hawai‘i Community Foundation provides a variety of professional philanthropic services to family, corporate and private foundations. Our goal is to assist foundation directors in fulfilling their philanthropic mission through investments in the community. Hawai‘i Community Foundation’s core private foundation service is supporting the grantmaking of our clients. We recognize that each foundation is unique, so the Hawai‘i Community Foundation has developed the following menu of services to facilitate the grantmaking services, depending on the interests of your foundation.
Provide the "storefront" for your foundation
 | Serve as the foundation’s office and point of contact for the public.

 | Handle inquiries from nonprofit organizations and serve as a resource for organizations before and after funding.
|
 | Provide anonymity, if desired. |
Promote compliance with regulations
 | Provide updates to directors on state and federal tax regulations.
|
 | Ensure that grants are qualified distributions.
|
 | Track budgets to ensure that minimum distribution requirements are met.
|
 | Convene meetings of foundations to share knowledge on compliance issues and grantmaking strategies or processes. |
Support strategy development
 | Develop a grantmaking strategy consistent with the Foundation’s philanthropic mission, goals, interests and values.

 | Design a process to implement the grantmaking strategy.
|
 | Research specific community issues and promising practices addressing those issues, and provide recommendations consistent with the Foundation strategy.
|
 | Share information gathered by the Hawai‘i Community Foundation on the nonprofit sector, philanthropic trends and community issues. |
Facilitate productive meetings and retreats
 | Prepare and deliver agendas and materials in preparation for Foundation meetings.
|
 | Provide staff for meetings of the Foundation and prepare meeting minutes.
|
 | Provide written evaluations and recommendations for director consideration.
|
 | Facilitate retreats of the Foundation Board and provide conference rooms for meetings. |
Provide grant management services
 | For Foundations wishing to receive proposals, log and track proposals, and implement a proposal screening process to ensure that proposed grants are qualified distributions.

 | Develop written grant evaluations and recommendations, drawing on staff knowledge and analysis of the nonprofit organization or program and the community context.
|
 | Execute Board’s decisions, including preparing award and denial letters, tracking multi-year commitments or contingencies and communicating with grantees.
|
 | Receive and review grantee progress and final reports. |
Facilitate community connections through communication
 | Coordinate site visits with Foundation grantees.
|
 | Coordinate grantee gatherings to develop networks and share lessons learned.
|
 | Develop external communications plan that includes online, advertising and public relations features.
|
 | Design, develop and maintain the Foundation’s website.
|
 | Produce Foundation’s stationery and printed materials, such as brochures.
|
 | Coordinate the preparation and distribution of the Foundation’s annual report. |
Provide back office administrative support
 | Maintain records and files related to the Foundation’s grantmaking.
|
 | Prepare and monitor the Foundation’s operating budget and related schedules.
|
 | Provide and coordinate information as needed by Foundation advisors (CPAs, investment managers, attorneys, etc.). |
Fees
We would be pleased to talk with you about how we could best support your efforts. Fees are negotiated based on the complement of services that your Foundation seeks from the Hawai‘i Community Foundation.
